Roles & Responsibilities of Secretary

Administrative Duties

  1. Record Keeping:

    • Maintain accurate and organized records of temple activities, including meeting minutes, membership lists, and important documents.
    • Ensure that all records are up-to-date and securely stored.
  2. Correspondence:

    • Manage official correspondence, including drafting, sending, and responding to letters, emails, and other communications on behalf of the temple.
    • Handle inquiries from members, the public, and other organizations.
  3. Scheduling:

    • Coordinate and manage the temple’s calendar, including scheduling events, services, meetings, and other activities.
    • Ensure that all scheduled events are properly organized and communicated to relevant parties.

Meeting Coordination

  1. Meeting Preparation:

    • Prepare agendas for board or committee meetings and distribute them to participants in advance.
    • Ensure that all necessary documents and materials are prepared and available for meetings.
  2. Minutes and Documentation:

    • Record minutes during meetings and ensure that they are accurately documented and distributed to attendees.
    • Follow up on action items and decisions made during meetings.

Operational Support

  1. Documentation:

    • Prepare and manage various documents, such as reports, newsletters, bulletins, and other materials.
    • Assist in the preparation of official reports for the board, governing bodies, or regulatory agencies.
  2. Database Management:

    • Maintain and update the temple’s database, including membership information, contact details, and other relevant data.
    • Ensure the accuracy and security of all data.

Member Services

  1. Member Interaction:

    • Serve as a point of contact for temple members, handling their inquiries, requests, and concerns.
    • Assist with membership registration, renewals, and updates.
  2. Event Coordination:

    • Support the planning and execution of temple events, including religious ceremonies, festivals, and community gatherings.
    • Coordinate with other staff and volunteers to ensure the success of events.

Financial Administration

  1. Financial Documentation:

    • Assist in managing financial records, including donations, expenses, and budget-related documents.
    • Prepare financial reports and documentation as needed.
  2. Fundraising Support:

    • Help organize and manage fundraising events and campaigns.
    • Track and document donations and fundraising activities.

Compliance and Governance

  1. Regulatory Compliance:

    • Ensure that administrative practices comply with relevant laws, regulations, and temple policies.
    • Assist in preparing documents and reports required for compliance and audits.
  2. Policy Implementation:

    • Help implement and enforce temple policies and procedures.
    • Ensure that policies are communicated effectively to staff and members.

Communication

  1. Internal Communication:

    • Facilitate effective communication within the temple, ensuring that information is shared accurately and promptly.
    • Draft and distribute newsletters, bulletins, and other internal communications.
  2. External Communication:

    • Manage communication with external entities, including other organizations, community groups, and media.

General Support

  1. Clerical Tasks:

    • Perform general clerical tasks such as filing, photocopying, and handling phone calls.
    • Provide administrative support to the temple’s leadership and staff as needed.
  2. Training and Development:

    • Participate in training and development opportunities to stay informed about best practices in administrative management and temple operations.

3:30 PM to  8:00 PM
