Roles & Responsibilities of Secretary

Administrative Duties

  1. Record Keeping:

    • Maintain accurate records of temple activities, including meeting minutes, membership lists, and financial transactions.
    • Ensure that all records are organized, up-to-date, and accessible.
  2. Correspondence:

    • Handle official correspondence, including letters, emails, and other communications on behalf of the temple.
    • Manage communication with members, clergy, and external organizations.
  3. Scheduling:

    • Manage and coordinate the temple’s calendar, including scheduling events, services, and meetings.
    • Ensure that all events are properly organized and communicated to the relevant parties.

Operational Support

  1. Documentation:

    • Prepare and distribute agendas, reports, and other necessary documents for meetings and events.
    • Assist in the preparation of reports for governing bodies or religious authorities.
  2. Meeting Coordination:

    • Arrange and coordinate meetings, including setting dates, booking venues, and notifying participants.
    • Record minutes and follow up on action items from meetings.
  3. Database Management:

    • Maintain and update the temple’s database, including membership information and contact details.
    • Ensure that data is accurate and secure.

Member Services

  1. Member Interaction:

    • Serve as a point of contact for temple members and address their inquiries or concerns.
    • Assist with membership registration, renewals, and records.
  2. Event Support:

    • Assist in organizing and managing temple events, such as religious ceremonies, festivals, and community gatherings.
    • Coordinate with other staff and volunteers to ensure the success of events.

Financial Administration

  1. Financial Documentation:

    • Assist in managing financial records, including donations, expenses, and budgets.
    • Prepare financial reports and assist with auditing processes.
  2. Fundraising Support:

    • Help organize fundraising events and campaigns.
    • Assist in tracking donations and preparing acknowledgment letters.

Compliance and Governance

  1. Regulatory Compliance:

    • Ensure that all administrative practices comply with relevant laws, regulations, and temple policies.
    • Assist in preparing documents required for compliance and audits.
  2. Policy Implementation:

    • Help implement and enforce temple policies and procedures.
    • Ensure that policies are communicated effectively to the temple community.

General Support

  1. Clerical Tasks:

    • Perform general clerical tasks such as filing, photocopying, and handling phone calls.
    • Assist other temple staff and volunteers as needed.
  2. Communication:

    • Ensure effective internal and external communication for the temple.
    • Draft newsletters, bulletins, and other communications to keep the community informed.

Mon-Fri: 9 AM – 8 PM

Saturday: 9 AM – 8 PM

Sunday: 9 AM – 8 PM
